Everything I’ve tested, standardized, and repeated across 5+ properties
WHY SYSTEMS MATTER
Setting up an Airbnb isn’t just about decluttering and fresh paint. It’s about building systems that save time, protect your peace, and keep guests happy—every single stay. After scaling to multiple units, I’ve learned what’s worth repeating and what I’ll never buy again.
Here’s my exact setup, systematized across every property I manage.
1. ACCESS & SECURITY
- Yale Assure Smart Lock — Bluetooth model lets me change codes remotely and sync with Airbnb. The app is reliable and guest-friendly.
- Blink Cameras — I prefer these over Ring. No charging needed—just swap AA batteries when needed.
2. BEDDING & LINENS
- Contract-Grade Percale Sheets — Crisp, cool, bleach-safe, and holds up after dozens of washes.
- Double Pillow & Mattress Protectors — Prevents odors, stains, and late-night laundry emergencies.
- Standardized Linens — Same brand and color across all units. Reordering takes 2 clicks.
- Throw Blankets — Cozy, photogenic, and helps every space feel “finished.”
3. KITCHEN ESSENTIALS
- Mid-Grade Cookware from Walmart — Not luxury. Not dollar store. Designed to get beat up and replaced without pain.
- Keurig + K-Cup Holder — Guest-friendly and easy to restock.
- Full Gadget Setup — Tongs, spatula, can opener, peeler, knives, cutting board—you know the drill.
- Matching Dishware & Glassware — Same look across all units. Cleaners know exactly where it goes.
- Paper Towels + Mount — Under-cabinet or wall mounted = fewer guest questions.
4. TECH & ENTERTAINMENT
- Roku Smart TVs — Simple interface. Easy for guests. Hide the wires with basic mounts.
- Streaming Subscriptions — Netflix, Hulu, Disney+ count as utilities. Yes, they’re deductible.
5. FURNITURE & DECOR
- Vegan Leather Couch — Durable, wipeable, and I’ve used the same model in multiple units.
- Wayfair Coffee Table & Decor — Solid surfaces that resist stains and keep the look cohesive.
- Accent Pillows & Wall Art — Mix texture. Buy art early—good pieces disappear fast.
6. BATHROOM ESSENTIALS
- Costco Hotel-Style Towels — Contractor-grade. Bulk-buyable. Bleach-friendly. Built to survive.
- Soap & Shampoo Dispensers — Refillable, clean look, and no more cluttered shelves.
- Toilet Paper + Backups — Costco packs. Always 2 extra in a basket—every time.
- Matte Black Hardware — Same set across all bathrooms. Consistent and elevated.
7. CLEANING & MAINTENANCE
- Black + Decker Cordless Vac — Lightweight. Actually works. No Dyson drama.
- Microfiber Mop + Cleaners — Same mop in every unit. Easy for turnover crews.
- Laundry Essentials — Pods, stain spray, mesh bags. Labeled and stocked.
8. WORK & WI-FI
- Desk + Chair Setup — Wayfair mid-priced desks. Ergonomic enough for digital nomads.
- Xfinity Internet — Not sexy, but reliable. $70/month avg.
9. GUEST TOUCHES & EXTRAS
- Digital Welcome Guide — Built in Canva. No paper. QR code in unit + link in message.
- Hooks, Storage & Racks — Luggage racks + Closetmaid organizers for longer stays.
- Blackout Curtains — Amazon basics. Washable. Game changer for sleep.
- Wi-Fi Thermostats / Mini Splits — Remote control = happier guests, lower bills.
FINAL THOUGHTS
Everything here is systematized. Every item is battle-tested.
